Office Manager

This is an exciting time of growth for Global Camps Africa as we seek to build our administrative capacity to support our international programs. Global Camps Africa has an immediate opening for a talented Office Manager to provide professional administrative and operations support in our Lynchburg, Virginia office. This position is an excellent opportunity for
someone with administrative experience who has a passion for international work and a desire to grow professionally.

Job Summary

Supervised by the Executive Director, the Office Manager will run all aspects of the daily office operations and support the organization’s fundraising efforts. The position is part-time (20 hours per week) and based in Lynchburg, Virginia. Compensation will be an hourly rate, commensurate with experience.

Primary Responsibilities

• Oversee office operations; maintain office schedule, files (electronic and paper),supplies, and systems

• Arrange meetings, conference calls and phone appointments as needed; coordinate logistics for and attend Board meeting

• Take minutes at all staff, committee, and Board meetings

• Become familiar with various stakeholders in the organization, including donors, international partners, and Board members

• Copy and produce documents and packages as needed

• Open mail, draft responses with limited direction, report on incoming mail to all staff

• Answer incoming calls, direct callers appropriately, and communicate effectively
with staff regarding phone messages and forwarding

• Maintain Global Camps Africa's compliance with state and federal registration
regulations for non-profit organizations

• Process all donations to Global Camps Africa including receiving and depositing
checks and online donations, entering all gifts into donor database (experience with
DonorPerfect and DonateNow a plus), and generating and mailing donor thank-you
letters weekly

• Manage donor database and produce reports for staff and Board members regularly

• Work with bookkeeper to record all deposits and expenses; scan and file all deposit
information, financial statements, and receipts

• Provide project support for fundraising team and others as needed, including special
events, in-house mailings, and other initiatives

Position Qualifications

• Bachelor’s Degree or equivalent experience

• Experience in progressively responsible positions in administrative and operations

• Extraordinary attention to detail

• Ability to work independently and be self-motivated in a flexible office environment

• Proven success prioritizing and managing multiple tasks with various deadlines

• Demonstrated ability to work well on a team

• Excellent written and oral communication, organizational, and interpersonal skills

• Proficiency in Google Apps
